Villa Monastero

First Circular:

Dear Collaborators and Friends of AD-4,

This is the first announcement on our annual gathering in the Villa Monastero in Varenna, situated at the shore of Lake Como. The meeting will take place from Monday, May 24th through Friday, May 28th, 2010. The guest rooms in the Villa Monastero and the Villa Cipressi will be available from Sunday night until Saturday morning. Our contract requires us to pay all guest rooms for all nights, even if they are unoccupied, which forces us to charge 6 nights (at the reduced conference rate) even if you stay a shorter time. Varenna and Lake Como is offering a beautiful setting and many possibilities of small and large excursions for accompanying persons. Please bring your partner and children along for a special week in the northern Italian lake-district. There will be no additional charge for accompanying persons sharing your room. For family with children we have a few larger rooms available, please let us know your special needs.

I. General Information:

This year’s meeting will concentrate on biological effect measurements for antiprotons and carbon ions using clonogenic survival, -H2AX, and Micro-Nuclei assays, detector development for high LET particle beams for dosimetry, LET measurement, real time imaging, and Quality Assurance, recent developments in Monte Carlo studies for dose planning and treatment plan comparison of different beam modalities, and the current status and future development of the AD-4/ACE experiment. Main points of the discussions will be:

A. Current status of experiments and data analysis, including but not limited to:
        Combined data analysis for V79 survival measurements 2006 – 2008
        RBE analysis
        Monte Carlo studies of dose distributions for
       antiprotons, protons, and carbon ions
        Development of dose planning tools for particle therapy
        Results and future plans for studies of long term effects of out-of-field dose
        Real time imaging for antiproton, carbon ion, and proton beams.
        Detector development for beam monitors and LET determination.
B. Planning for antiproton runs 2010.
C. Future work on Dosimetry and Biology.
   
A full collaboration meeting for the AD-4 collaboration will be scheduled during the week to discuss:

A.    Financial status/common fund contributions.
B.    Grant proposals.
C.    Team leaders and CERN registration.
D.    Publication policy.
E.    Addition of new collaborators.
    
A preliminary schedule of talks and discussions will be circulated shortly. Please send me your proposals for presentations and discussions as soon as possible.

II. Registration fee and accommodations

To cover the charges for the facility, breakfast and coffee breaks, the conference dinner, and miscellaneous expenses a conference fee of 300 Euro will be collected from each participant.

For participants confirming before March 1 we can offer the rooms at a special rate of 600 Euro for a double room and 480 Euro for a single room for the week. After March 1 rooms can only be guaranteed at the regular hotel rate at Villa Cipressi of 145/170 €, depending on room type.

All payments (registration fee and accommodation) should be made on site in cash or traveler cheques.

Depending on the amount of support we can obtain from sponsoring institutes a limited amount of support in form of waivers of the registration fee, and small travel grants may be available. These shall be reserved for students.

III. Registration

Rooms at the Villa are limited in number and local hotels are typically booked out very quickly. To assure affordable accommodations please send an e-mail as soon as possible, but no later than March 1, with the following information:

IV. Transportation

Varenna is situated on the east shore of Lake Como and can be reached by car or train. The nearest airports are in Bergamo, Milano-Linate, and Milano Malpensa. From all three airports train connections exist to the train station Varenna-Esino. If you announce your arrival schedule we will dispatch a taxi service to the train station. You can do this in advance by e-mail or via telephone by calling Michael Holzscheiter at +41-76-487-3454 once you have purchased your train ticket. Shuttle buses run between Milano Malpensa and Milano Centrale, from which trains travel to Varenna.
Trains from Milano Centrale to Varenna leave typically every two hours and take about 1 hour and 10 minutes.
Trains from the Bergamo train station leave about every hour and connect in Lecco to the trains from Milano to Varenna.
